01 · Challenge

A real estate team managed deals across spreadsheets, shared files and separate tools, so tracking a property, its clients and the next step meant piecing information together by hand.

02 · Approach

We designed and built one internal platform: a visual deal pipeline, connected client records, guided checklists, a profitability calculator and AI that evaluates each property.

03 · Outcome

A shared workspace to run property deals, with a clear view of progress and an AI assessment that flags which opportunities deserve a closer look.

01The challenge

Moving a deal forward shouldn't need a round of messages to find out where it stands.

From spreadsheets and shared files to one workspace

A real estate team was running its deals across spreadsheets, shared files and separate tools. To know where a property stood, or who was waiting on what, someone had to ask. Details lived in different places and in different people's heads.

The team needed one place to follow a deal from first enquiry to a completed sale, and a way to judge which opportunities deserved their time.

02Strategy

A custom platform, with AI where it helps a decision

We designed and built a custom internal platform that brings the process into one workspace. The team follows deals through a visual pipeline, connects clients to properties, reviews profitability and works through the checklists that move each deal forward.

We also built AI that evaluates each property and recommends whether it looks like a good deal. It is there to inform the decision, not to replace the team's judgement: the team reviews the recommendation next to the figures and property details before deciding how to proceed.

03Pipeline

Made every deal's next step clear

We organised the work into a visual pipeline. Each card brings together the property, the person responsible, its current stage and the latest update, so the team understands a situation before opening the full record.

Moving a deal forward brings up the information needed for that stage. Prompts and checklists help people follow the process without remembering every detail.

04Property and AI

Helped the team assess each property with AI

Property information, photographs, contacts and notes sit together in a structured record, with clear tabs that keep the overview easy to scan. The profitability calculator and financial overview live in the same record.

The AI evaluation sits beside the figures and the property details, so the team can review the recommendation before deciding how to proceed. The interface adapts to smaller screens, keeping the same information within reach away from a desk.

05Clients

Kept client conversations connected to the right property

We linked people to their deals and property history. The team can move from a contact to the relevant property, see previous notes and understand the relationship without piecing it together across tools. Search and filters make the list easier to work through.

06Workflow

A complex process, easier to use every day

We started by walking through the team's existing work, then tested clickable wireframes with employees. Their feedback helped us simplify navigation and put the most useful information where people expected to find it. A focused first version gave the team a working foundation, which we refined around real use as the platform developed.
